Information we collect

When you send an inquiry, we collect your name, email address, selected service and project description. Company name is optional; our contact page also allows an optional timeline. We receive any further information you choose to include in email correspondence. Please do not send passwords, payment card details, identity documents, customer databases or sensitive personal records. This form does not accept attachments.

Our hosting and email services process technical information such as IP addresses, request times, browser/request details and email delivery information. The website uses temporary session, submission and anti-abuse records to protect forms, recover errors and prevent repeated sends. We do not use the inquiry form to create a public profile.

How we use your information

We use inquiry details to understand your request, answer you and discuss possible work. If a project proceeds, we use relevant correspondence to manage that relationship under separately agreed terms. We also use technical information to operate the website, prevent spam and misuse, diagnose failures and meet applicable legal obligations.

Sending an inquiry does not subscribe you to marketing. We do not sell personal information, share it for cross-context behavioural advertising or run third-party advertising or analytics trackers on this website. We do not use inquiry information to make automated decisions with legal or similarly significant effects.

Basis for processing

Where a legal basis is required, responding to a requested proposal or project discussion supports steps at your request before a contract, or performance of a contract where relevant. Operating and securing the website, preventing abuse and managing ordinary business correspondence supports our legitimate interests, balanced against your rights. We also process information where required by law. Where consent is required for a particular activity, we obtain it separately; you may withdraw it without affecting earlier lawful processing.

Cookies and form security

The website uses essential session cookies when you open the contact form or load the homepage inquiry security token. On the homepage, approaching the inquiry section can load that token before you submit. These cookies support security, error recovery and submission confirmation; they are not advertising cookies. Ordinary marketing-page requests do not themselves start a session.

The session cookie lasts for the browser session. Brief form-recovery information can be kept in a private session to redisplay an invalid submission; that recovery display expires after ten minutes. Security identifiers derived from IP addresses, email addresses and submissions are keyed rather than stored as a public contact database. They are pseudonymous identifiers, not a guarantee of anonymity.

Providers and disclosures

We use Hostinger for website hosting and inquiry email delivery. Providers process traffic, security metadata and correspondence as needed to provide those services. Access to project correspondence is limited to people who need it for the inquiry, an agreed project or business administration. We may disclose information to professional advisers or authorities where reasonably necessary to meet a legal obligation, protect rights or address misuse.

The website does not send an automatic confirmation email to the visitor. Its success screen means the outgoing email service accepted the inquiry; it is not a guarantee that every message reaches an inbox. If delivery is uncertain, keep the reference and contact us before sending a duplicate.

The LinkedIn link opens an external company page. LinkedIn applies its own privacy policy when you visit it. No LinkedIn tracking widget or embedded feed is loaded by this website.

International processing

FYZYNC operates remotely from Pakistan. Information sent to us from the UK, Canada, Australia or the USA may therefore be accessed and processed in Pakistan. Our hosting and email providers may also process information in other countries through their service infrastructure. Data protection laws can differ between countries.

Where applicable law requires safeguards for an international transfer, the relevant transfer must be handled under an appropriate lawful arrangement. Contact hey@fyzync.com for information about the arrangements relevant to your inquiry or proposed project. A client project involving regulated data may need additional agreements before any such data is shared. Please discuss those requirements with us first.

How long we keep information

We keep inquiry correspondence for as long as needed to answer the request, conduct the discussion and manage any resulting project. Relevant records may be retained longer where needed for contractual, accounting or legal obligations, or to establish or resolve a dispute. When those purposes no longer apply, information should be deleted or anonymised. You can ask us to review or delete correspondence, subject to any lawful reason for retaining it.

Temporary anti-abuse and submission records have expiry windows, with standard application cleanup targets of approximately 24 hours for rate/submission metadata, 30 minutes of inactivity for sessions and seven days for redacted application logs. Actual removal occurs during maintenance cleanup; these windows do not promise instant erasure. Hosting logs, mailbox records and backups follow their own operational cycles and relevant legal requirements. A copy in a backup may remain until that backup is replaced or expires.

Your choices, rights and complaints

Depending on the law that applies, you may request access to or correction of your personal information, deletion, restriction, portability, or object to particular processing. You may withdraw consent where processing relies on it. We may need proportionate information to verify your identity before responding and will handle requests within the periods required by applicable law. We do not require identity documents through the inquiry form.

You may also complain to the relevant privacy regulator or authority where you live: for example, the Information Commissioner’s Office in the UK, the Office of the Privacy Commissioner of Canada or the relevant provincial regulator, the Office of the Australian Information Commissioner, or the relevant US state authority. Available rights and regulators depend on applicable law; this notice does not limit mandatory rights.

Security and children

We use access controls, server-side validation, encrypted email transport, form-security tokens and submission limits to reduce security risks. No website or email system can guarantee absolute security. Please do not send secrets or sensitive records in an initial inquiry.

Our services and inquiry form are intended for business and professional project discussions, not directed to children. If you believe a child has submitted personal information inappropriately, contact us so we can review and address it.

Changes and contact

This policy covers the FYZYNC website and its inquiries. Client projects, email campaigns and external tools may require their own agreements and privacy information. We will update this page when these website practices change and show the revised effective date.
